The role of the Commercial Coordinator is to assist and support the Commercial Managers in the execution of their duties within the fresh produce export industry. The areas within the export business the Commercial Coordinator would become involved includes Procurement, Sales, Stock Management, Administration and Operations.
Basic Qualifications
Candidates should meet the following qualifications upon hiring into the job:
A Degree or Diploma in Logistics Management or marketing Related qualification is preferred.
Alternatively the candidate should have a minimum of 24 months experience working in the Fruit Export Industry

Key Functions and Expected Performance:
- Assist the Commercial Managers in managing receiver programs by having a thorough understanding and knowledge of program requirements (commercial and technical) and products
- Assist the Commercial Managers with Pre-season Demand and Supply Matching; Send new receiver the relevant documentation for completion and forward to Planning Coordinator to set up on system
- Liaise with Planning Coordinator regarding 3 rd party producer order and packing status
- Responsible for all Commercial related updates and reporting requirements in/with Dipar
- Should have sufficient knowledge of Special Market requirements relating to protocols and documentation requirements
- Work in collaboration with the Planning Coordinator to actively monitor stock and arrange re-inspection
- Liaise with Freight Forwarders and arrange Loading of Seafreight Containers or conventional vessel bookings; Liaise with Freight Forwarders for weekly vessel planning purposes.
- Liaise with Freight Forwarders for quotes on pallet transport and communicating it to Commercial Manager before loading;
- Constantly liaise with cold stores regarding steri capacity and bookings to ensure that there is enough space to fulfill demand;
- Managing and updating pallet re-inspections status with respective cold stores and PPECB
- Arrange for Product to be delivered in time for any Airfreight Consignments;
- Assist Logistical department to chase, verify Load Out documents with producers, with PPECB/DAFF enquiries and where needed with ATA and ATD details.
- Verify all Export Documentation is correct and ensure it is sent to receivers in time;
- Capture Load Outs on Dipar, upload estimated transport, freight and storage costs as well as correct sales/purchase terms on Dipar before invoicing and communicate summary & invoices (where required) to receivers;
- Check the Logistical invoices to verify that charged amounts are in line with agreed tariffs and ensure Commercial Manager signs off before payment;
- Load standard Logistical tariffs on Dipar;
- Respond to any Logistical/Operational queries from producers and receivers;
- Work in collaboration with Technical department to follow up on QC reports with receivers
- Process any claims on Dipar and then generate invoices and credit notes together with weekly load notifications to be sent to receivers;
- Assist technical department with unmarking any claims without financial implication before payment to producers is processed;
- Assist the Commercial Manager with monitoring debtor payments, ensuring that it is received timeously;
- Extract Information from Dipar for purposes of receiver and producer reviews;
- Work in conjunction with the Technical team to set up and approve customer labels before packing
- Work in conjunction with the Technical team to compile post-season receiver and producer reports.
