Tasting Co-Ordinator & Office Administrator

Wines are blind tasted and are included in various clubs (score dependent).  The role of the tasting Co Ordinator is to plan, prepare, conduct and capture the scores for these tastings.  The tasting Co Ordinator role will assist with both Wine-of-the-Month club as well as Fine Wine Awards tastings.

Tasks: Wine-of-the-Month Club

  • Prepare rotational call in cycle & mail templates to request samples from producers.
  • Call in samples from producers – liaising with suppliers, warehouse, packing in tasting room.
  • Setting up tastings including glasses and pouring.
  • Panel communication
  • Arrange catering for tastings
  • Co ordinate panel tastings
  • Capturing the scores of the tasted wines
  • Send tastings results
  • Tasting room stock organization and sample management

Tasks: Fine Wine Awards

  • Call producers who have not entered the competition.
  • Following up on online submissions – payments & sample submissions
  • Wine sample submission & storage with the warehouse
  • Reconciliation of samples received vs online submissions
  • Producer queries
  • Panel communication
  • Panel tasting co ordination – sort, set up, pour, capture and conduct tastings.
  • Event planning
  • Co ordination of sticker orders – orders, payments, artwork, liase with printer, distribution of stickers to producers.

Office Administration

  • General office administration, data capturing
  • Following up on quotes, invoices and submitting for payments
  • Maintain organized and methodical records and files.
  • Written communication to producers, suppliers and staff.
  • Filing documentation, sending required documentation
  • Liaising and engaging with suppliers & producers – via all communication channels

** Additional tasks could be added when operationally required.

Skills required

  • Microsoft Outlook, Advanced Excel, great admin skills and highly organised.
  • Fluent in English and Afrikaans
  • Advanced computer skills – essential
  • Problem solving, accuracy, attention to detail, meticulous, accurate.
  • Strong communication & Administrative skills
  • Demonstrates reliability, punctuality, and a strong sense of responsibility.
  • Team player with positive attitude
  • Ability to deal with pressure and meet deadlines
  • Excellent time management skills
