Job purpose:

The Systems and Planning Manager is responsible for overseeing the planning, coordination, and management of systems, operational workflows, and data integrity to optimize packhouse efficiency. This role ensures accurate forecasting, streamlined dispatch operations, and seamless integration of financial and operational processes. The Systems and Planning Manager plays a crucial role in maintaining high standards of data accuracy, system functionality, and strategic planning to enhance productivity and cost efficiency.

Suitable candidates will need to have the following minimum qualification and relevant experience:

Qualifications and Experience

• Qualification in Project management, Business Systems or related field

• Experience in the citrus industry and packhouse environment will be an advantage.

• Marketing and systems administration background

• Strong technical knowledge of various IT systems and platforms

• 4-8 years’ experience with project management methodologies

• Understanding of business operations and strategic planning

• Excellent communication and stakeholder management skills

• Leadership abilities to manage teams and projects

Key Accountability Areas:

• Systems Management

  • Oversee and maintain Packsys base files, ensuring accuracy and updates.
  • Ensure real-time updates and integration of the marketing plan into operational systems.
  • Troubleshoot and resolve system issues, including hardware and software (scanners, computers, etc.).
  • Reconcile stock levels with floor stock and perform regular audits.
  • Ensure accurate setup of label printers and control room configurations.

• Operational Planning & Execution

  • Develop and oversee the execution of operational plans to optimize production.
  • Ensure timely registration, inspection, and dispatch of pallets.
  • Monitor and adjust packing instructions according to real-time order requirements.
  • Oversee the training, allocation, and performance of the systems and outbound teams

  • Dispatch & Logistics
  • Update and maintain product stock records for both local and export markets.
  • Process and handle rejected stock in collaboration with quality control teams.
  • Oversee Titan and PPECB inspection processing.
  • Manage transporter invoicing and ensure compliance with logistics schedules.
  • Ensure seamless communication between logistics, production, and marketing teams.

• Financial Analysis & Compliance

  • Assist finance with reconciling producer payments and production-related financial reports.
  • Validate and update Bill of Materials (BOM) in Packsys for accurate cost control.
  • Ensure timely and accurate producer income projections and pre-harvest estimates.
  • Conduct financial analyses of dispatch, production costs, and revenue streams.

• Data Integrity & Reporting

  • Ensure high levels of data accuracy and system integrity.
  • Conduct weekly pack out projections and validate against market demands.
  • Maintain compliance with reporting deadlines and ensure proactive communication with stakeholders.
  • Ensure real-time tracking and reporting of operational KPIs.
