PURPOSE OF THE POSITION

The Office and HR administrator plays a crucial role in ensuring the smooth and efficient operation of the Blaauwklippen Office and HR department. The person will provide essential administrative support, manage day-to-day administrative tasks, and maintain a productive work environment. The ideal candidate will be an organised, self-motivated problem solver with exceptional communication skills and fanatical attention to detail.

KEY RESPONSIBILITIES

Office Administration

  • Diary and calendar management of Senior Management.
  • Handling queries, answering phones and e-mails for Senior Management.
  • Coordination of all logistical arrangements related to meetings, functions and events including:
    • Bookings venues,
    • Sending meeting invites and the agenda if required,
    • Coordinating the set-up including technical requirements
    • Meeting and welcoming guests,
    • Organising refreshments,
    • Typing of and distributing minutes if required,
    • Coordinating clean up.
  • Coordination of all travel arrangements including accommodation, flights etc.
  • Inventory management of office supplies and placing of and coordinating orders.
  • Coordinating courier pick-ups and deliveries, and drive to suppliers or service providers if required.
  • Updating and maintaining the Office / Admin SharePoint folder.
  • Data capturing and filing, paper-based and virtually.
  • Submitting timely reports and preparing presentations / proposals as assigned.
  • Managing the cleaning team, including recruitment, attendance, leave, performance and employee morale.
  • Administrative assistance with projects when needed and any other relevant request.

Human Resources Administration

  • Updating and maintaining the HR SharePoint folder.
  • Assisting with recruitment of junior level employees and coordinating of interviews, booking rooms etc for all levels.
  • Coordinating and / or facilitating new employee on-boarding and induction (including payroll documentation, health and safety orientation, meet and greet of the team, coordinating a training plan for the new employee etc.).
  • Compiling required information for legislative submissions i.e., Skills plan submission – learning needs analysis, attendance registers etc.
  • Sharing new policies and processes with relevant employees.
  • Employee engagement and handling and / or escalating employee queries and concerns.
  • Assisting managers with informal conversations and paperwork, with employees relating to absenteeism, performance etc.
  • Coordinating employee wellness initiatives, social events and assist with culture survey compilations and workshops.
  • Conducting exit interviews and ensuring off-boarding of terminated employees are concluded.

JOB REQUIREMENTS

  • Relevant tertiary education required (i.e., Diploma or Degree in HR / Business administration / Law / Finance etc.)
  • 5+ years’ experience as Office administrator and / or Human Resources administrator.
  • Excellent MS Office skills (Excel, Word, PowerPoint, Outlook) and G-suite (Google docs).
  • Excellent communication skills – in English and Afrikaans.

OTHER REQUIREMENTS

  • Driver’s license and own reliable transport
  • South African citizen.
  • Clear criminal record.
