Our client, an established company trading in premium fruit, is seeking to appoint an Administrative & Operations Assistant to join their team.
Trading out of Chile, Poland, South Africa and exporting to Middle East, India, Bangladesh and Black Sea region. (Trading Apples, Pears, Citrus, Cherries, Kiwi)
Requirements:
Grade 12 and relevant Tertiary Qualification with min 3-5+ years’ relevant experience in the same industry or freight forwarding or shipping (Reefer Containers essential)
Or recent graduates with relevant degree on an Intern basis, on a fair remuneration package.
- Excellent communication verbal and written skills in English
- Excellent time management

- Advanced proficiency in Microsoft Excel
- Own transport and valid driver’s license
KPA
Assist Operation’s Manager with administrative and liaison tasks as set out daily.
- Process order enquiries from customers as forwarded by management and follow procedures.
- After receipt of order confirmation, place orders with relevant suppliers.
- SA suppliers- update and allocated supplier stock sheets, load instructions and capture data onto system.
- Foreign Suppliers- ensure that all relevant PO’s are sent to the suppliers, check the departure dates from supplier warehouse, ensure all documentation related for departure has been received
- Update Schedule delivery / collections via the same channel for warehouse, packhouse notification etc.
- Check availability and packing programs of fruit at farms and packhouses
NB: Container loading schedule and monitoring from booking to reception at port of delivery
- Ensuring on-time receipt of all relevant documentation, critical
- Ensure that all relevant PO’s are sent to the suppliers, check the departure dates from supplier warehouse, ensure all documentation related for departure has been received
- Documenting/ capturing / coordinating request from sales and communicating on availability / time frame to load requested orders/ send out load instructions
- Liaising with shipping lines / freight forwarder with regards to bookings, loading schedule, EDD and ETAs of containers, container tracking, and relevant documents.
- Investigate and resolve any delays or discrepancies, when tracking of containers with the relevant shipping lines.
- Update Operations Manager and marketing team on any delays or any issues affecting timeous deliveries etc.
- Maintain good relationships with suppliers / farmers/ Freight Forwarders, Shipping lines
- Follow up on undelivered goods of any purchase orders.
- Query and resolved with supplier of incorrect or defective goods.
- Update vessel departure and arrival dates and maintain accuracy within the company’s in-house system
- Prepare and email required weekly reports within set timelines
