Iwayini (Pty) Ltd has an exciting opportunity for a SAWIS Administrator based at Villiera Wines,

The SAWIS Administrator is responsible for the administrative management and coordination of all administration and certification processes, ensuring regulatory compliance and maintaining accurate documentation systems for wine production and certification on the farm.

KEY RESPONSIBILITIES

SAWIS Administration & Documentation

  • Submit produced stock for SAWIS and Department of Agriculture requirements
  • Follow up on SAWIS submissions to ensure sensorial and analytical approval is attained
  • Prepare and submit Wine of Origin applications and certifications
  • Maintain comprehensive filing systems for all SAWIS documentation
  • Coordinate SAWIS inspections and facilitate communication with SAWIS officials
  • Prepare monthly and quarterly SAWIS reporting requirements

 Data Management & Record Keeping

  • Maintain Wine Online litres versus physical stock on hand, identifying discrepancies and liaise with relevant parties if corrections are required
  • Ensure all production records are completed as per quality control requirements
  • Manage and update wine inventory databases
  • Knowledge of SAWIS and wine law regulations, particularly around labels and bottled wine
  • Maintain accurate records of wine movements, blends, and stock transfers
  • Coordinate data entry for Wine Online system

 Administrative Coordination

  • Liaise with relevant parties, ensuring they are kept informed in terms of their submissions
  • Coordinate between production, laboratory, and management teams regarding SAWIS requirements
  • Schedule and track laboratory analyses required for SAWIS submissions
  • Manage SAWIS-related correspondence and communications
  • Prepare administrative reports for farm management

 Compliance & Quality Assurance

  • Ensure special instructions are highlighted where they are not identified by the product specifications
  • Monitor compliance with wine law regulations and industry standards
  • Understanding of customs and excise regulations related to the wine industry
  • Assist with audit preparations and regulatory inspections
  • Maintain knowledge of current wine legislation and regulation updates

Problem Resolution & Communication

  • Identify potential problem areas, applying problem solving techniques to correct situations
  • Resolve administrative discrepancies in SAWIS submissions
  • Coordinate with external service providers and regulatory bodies
  • Provide administrative support for production planning and certification requirements

REQUIRED QUALIFICATIONS / EXPERIENCE

  • Matric/Grade 12 certificate
  • 3 to 5 years Production Administrator/wine or production industry experience is essential
  • Administrative or business qualification advantageous
  • Previous SAWIS administration experience preferred
  • Knowledge of SAWIS Certification requirements
  • Knowledge of EzyWine Pro will be an advantage and computer literacy is essential
  • Knowledge of DAFF & Wine Online Systems
  • Advanced Microsoft Office skills (Excel, Word, Outlook)
  • Database management experience
  • Understanding of wine production processes (basic level)

  • Strong Interpersonal and Communication Skills
  • Attention to detail and Problem-Solving Ability
  • Excellent organizational and time management skills
  • Ability to work under pressure and be willing to work flexible hours
  • Strong written and verbal communication in English and Afrikaans (advantageous)
  • Own reliable transport and valid driver's license is essential
