A premium estate located near Montagu is seeking a highly organized, professional Hospitality & Operations Manager. Acting as the "Right Hand" to the Farm Manager, this position oversees Front of House (FOH) operations, estate administration, HR, finance, and health and safety compliance.
Note: This position can be filled by an individual or as a joint couple application alongside the Farm Foreman/farm manager position. A single shared house is provided on-site.

Core Responsibilities
1. Front of House & Guest Relations
- Manage reservation platforms, guest communications, and booking administration.
- Oversee front-of-house coordination to ensure a premium, luxury guest experience.
- Resolve guest queries efficiently and escalate complex issues when necessary.
- Maintain up-to-date guest information records, booking logs, and hospitality operational manuals.
2. HR & Staff Administration
- Manage, organize, and maintain digital HR files, staff contracts, and server structures.
- Administer staff rosters, shifts, and leave schedules across all departments.
- Set up, verify, and capture weekly staff timesheets in Excel for payroll submission.
- Coordinate staff onboarding, inductions, uniform stock control, and compliance tracking.
- Oversee staff catering, grocery budgets, and related operational cost control.
3. Financial & Procurement Support
- Manage weekly purchasing requests, prepare purchase orders, and secure management approval.
- Capture, file, and allocate invoices and receipts to the correct cost centres.
- Secure supplier quotes and perform cost-benefit comparisons to optimize estate spending.
- Conduct monthly inventory counts and comprehensive stock takes.
4. Farm Data Systems & Reporting
- Ensure all farm departments submit weekly checklists and operational data sheets.
- Capture and maintain accurate farm production, orchard, infrastructure, and livestock records.
- Compile concise weekly summaries for management reporting.
- Manage operational checklist systems tracking machinery, fuel, solar, irrigation, and fencing.
5. Housekeeping & Maintenance Coordination
- Coordinate daily schedules for housekeeping to maintain 5-star estate standards.
- Monitor linen, cleaning consumables, and guest amenities stock levels.
- Inspect guest units prior to arrival to guarantee perfection.
- Log maintenance requests and act as the central communication link between housekeeping, maintenance, and farm teams.
6. Health, Safety & Compliance
- Maintain precise health and safety records, training documentation, and compliance files.
- Oversee the log systems for emergency equipment, including fire safety and first aid.
- Track incident reports, personal protective equipment (PPE) registers, and safety checklists.
Candidate Requirements
- Experience: Proven track record in high-end, luxury hospitality or premium estate management.
- Systems: Advanced proficiency in Microsoft Excel and digital filing systems.
- Attributes: Exceptional organizational skills, strict attention to detail, and a high level of discretion.
- Coordination: Ability to multitask and seamlessly bridge communication between hospitality and farming operations.
