Our client based in Paarl in the Farming Industry is looking for an Office and Finance Administration Manager to start immediately.

Responsible for general office administration, ordering of food, stock for boutique and other goods, cccommodation bookings & check-in’s and maintaining budgets.



Between the age of 47 and 60 years

Previous accounting experience

Strong Administration Skills

MS Excel & Word.

Sage One experience not required but would be a plus

Fluent in English and Afrikaans

Own reliable transport and valid driver license





Full accounting on Sage One incl. salaries, VAT, PAYE … up to trial balance

Creditors - Collection of incoming invoices, checking for compliance, capturing on Sage One and preparation for payment run via EFT twice per month

Debtors – Generate invoices for payments received

Cashbooks - Procure and manage Petty cash & Cash book

Payroll Sage One   -Full function - Distribute salary slips

EMP201 - submit and capture payment on SARS e-Filing site, authorise payment.

VAT – Submit on SARS e-Filing

Staff Loans – Manage Staff loans – Excel

Cash Control – Received daily cash from Deli –

Yoco – Print reports from Yoco capture invoice details on Sage One

Manage wages for casual workers in conjunction with the Sanctuary Manager and Operations Manager

Reconciliation of receipts with bank statements

Reconciliation of Credit Cards statements and receipts

Budgets – Maintain Budgets & generate monthly reports on GL codes as requested

BOP Reporting – Submit & Authorise Foreign Exchange instructions.

SagePay - Management

Stock control - Boutique

Update Bidfood History spread sheet weekly

ACC NPC – Authorise Foreign exchange instructions, Generate Tax Invoice


Office Admin:

Manage two emails accounts

Coordinated and centralized procurement and processing of supplies for volunteer house, main house and café including food supplies, fresh produce & cleaning supplies (reducing waste). Coordination with Volunteers coordinator, Café Manager and Sanctuary Manager

Administration for vehicles including upkeep of registration and booking of general services and maintenance, liaise with staff regarding booked service.

Manage Vehicle Checklist – weekly

Manage Vehicle Fuel list - weekly

General administration of maintenance and service of household goods (repairs and warranties etc.)

Insurance – Upkeep of Insurance policy – General Admin

General administration incl. filing of administrative documents (hard and soft copies)

Office supplies (including stationery, forms, labels etc.)

Updating list of all suppliers and employees in contacts and on separate list

Administration of keys including End of Day check (incl. vehicle keys at 5pm)

CIPC and tax reporting together with BVS



Control incoming payments of Nightsbridge / - booking system and direct accommodation bookings.

Confirmation of Accommodation bookings via email, & capturing on Desktop Calendar & Dairy – Confirm payments

Assist with check-in’s in coordination with Guest Manager

Room inspection prior to Guest Check-in

Assist in Curio shop when needed


SALARY: R15 000
