The Guest Liaison will be responsible for ensuring that the guests experience from before arrival to departure is seamless in accordance with all policies and procedures. The Guest liaison provides the guests with information on facilities and services, events and attractions, tours, travel routes, transportation schedules and special services.

APPOINTMENT REQUIREMENTS

  • Gr 12
  • Completed tertiary qualification in Hospitality /Travel & Tourism
  • Preferably 2 - 3 years previous experience in a guest facing role at a high-end establishment
  • Impeccably groomed
  • Knowledge of PMS systems
  • Computer literate, knowledge of MS Outlook, Word and Excel is essential
  • Excellent communication skills in English; knowledge of additional languages will be highly advantageous.
  • Exemplary sales skills and customer-oriented approach
  • Well versed in various areas of travel (domestic/international, business/holidays, group/FIT)
  • Excellent telephone etiquette
  • Ability to present, persuade and communicate effectively
  • Demonstrable ability to handle crises, should be able to solve problems, be proactive and be able to work in fast paced environment
  • Ability to work in a team
  • Strong organizational skills
  • Comfortable in dealing with very distinguished clientele
  • Ability to handle a high-pressure environment

KPA’S

  • Ensure all incoming emails, reservations messages are dealt with promptly and accurately.
  • Answer phones as promptly as possible in a courteous professional manner.
  • Input all reservations accurately into the reservations system.
  • Assist guests in booking restaurants, tours, transfers and liaise & charge accordingly.
  • Confirm with guests their lunch & dinner bookings for that day
  • To be fully conversant with all hotel rates, including rack, corporate and contracted.
  • To be responsible for the timely upkeep of the archives.
  • Ensure that all reservations records are filed accurately and can be retrieved promptly.
  • Ensure that bookings for each day are checked prior to arrival for accuracy and confirmations.
  • Ensure all reservations are tracked correctly for statistical purposes.
  • Ensure guest history files are utilized correctly.
  • Ensure all Special Attention Guests requests are dealt with accurately, and that every effort is taken to ensure they receive the appropriate service.
  • To have complete knowledge of all rooms, suites and hotel facilities, as well as local area competitors.
  • Provisional reservations to be managed correctly and ensure that expired reservations are released.
