Brief job description:

Provide high-level administrative support by conducting research, handling
information requests, and performing administrative functions such as preparing
reports, arranging conference calls and workshops, scheduling meetings and diary
management for the CEO and other senior managers.


Duties:
o Executive diary and email management for the CEO and senior managers
o Arranging, attending high-level meetings and minute taking
o Producing, distributing, and compiling documents, reports, presentations,
agendas, minutes, follow-up actions, and general correspondence using Excel,
Word and PowerPoint
o Screening all phone calls, facilitating the resolution and escalation of issues and
complaints, inquiries and requests
o Arranging local and international travel, accommodation and visas, if required
o Arranging necessary meeting rooms, and equipment e.g., Microsoft Teams
and conference calls, refreshments, lunch, etc.
o Maintaining office systems, including data management and filing
o Answer phone calls and direct calls to appropriate parties or take messages
o Read and analyze incoming memos, submissions, and reports
o File and retrieve corporate documents, records, and reports
o Attend to incoming and outgoing correspondence
o Coordinate and direct office services, such as records, personnel issues, and
housekeeping, to aid executives


Competencies:
o Proven MS Office proficiency (Excel, Word, PowerPoint, SharePoint, etc.)
o Strong administrative capabilities
o Good verbal and written communication skills
o Bilingual in English & Afrikaans
o Attention to detail
o Be willing to travel to any or all business units in South Africa, if required
o Competent in managing an office environment and dealing with sensitive or
confidential information
o Experience and understanding of the agricultural industry will be an
advantage

Qualifications and experience required:
o Grade 12
o Valid Driver’s license
o A professional secretary or executive assistant qualification would be
advantageous
o An agricultural background would be beneficial
o At least 3-5 years of relevant work experience as a personal or executive
assistant
