Jordan Wine Estate in Stellenbosch is looking for an Assistant Accommodation Manager to work on this award winning Wine Estate and experience all that it takes to create legendary wines.

The main function of the Assistant Accommodation Manager is to deliver friendly, efficient, customer service and to create a warm and welcoming atmosphere for all guests. The key aim is to retain loyal customs while attracting new customers and in doing so, build and grow a loyal customer base. The Assistant Accommodation Manager will need to be willing to perform any task required to ensure that the customer satisfaction and the reputation of the establishment are kept at the highest level.

To achieve this, the Assistant Accommodation Manager will need to portray the following skills but not limited to:

  • Strong interpersonal skills and the ability to remain calm, professional, and friendly during stressful situations.
  • Attention to detail.
  • Strong administrative skills.
  • Strong leadership and staff managing skills.

The successful candidate will be responsible for the following but not limited to:

  • The full responsibility of the day-to-day operations when the Accommodation Manager is absent or not present.
  • Maintain records of incoming guests and obtain the necessary documentation from the guest.
  • Ensuring guests checking out have settled their bill and those suites are left in a reasonable condition with no items removed or taken. 
  • Checking suites for any maintenance that is required and ensure you notify the Manager, or in their absence, the Maintenance Manager about this problem so it can be rectified in a timely manner.
  • Attending to guests' personal requests.
  • Be informed on what is happening at Jordan Wine Estate, the history as well as other activities and establishments in Stellenbosch, Cape Winelands, and in Cape Town.
  • Assisting housekeeping where necessary to ensure the cleanliness of a suite.
  • Ensuring suites are always clean, instructing Housekeeping staff of important tasks to do in order to ensure the suites will remain in prime condition. 
  • Manage and maintain the administration of all reservations, cancellations, and no-shows.
  • Work closely with the marketing manager and accommodation manager in order to ensure strategies are implemented to maximise occupancy at the accommodation.
  • In the absence of the Manager, be accountable for all relevant product delivery and stock management, including checking stock levels, counting, storage reconciliation, and loss investigation.
  • Ensure that all bookings are noted on Hospitality Software, and necessary procedures are followed in order to ensure all information is entered correctly, such as Novtel.
  • Attend any scheduled meetings, whether internal or external and collate as much information as possible, in absence of the manager.
  • Complete all required health and safety/ fire checks on time.
  • Be able to think on the spot and solve problems quickly and efficiently with as little inconvenience caused to the guests.
  • Correctly send STO rates and other information to agents. 
  • Inform the Manager about any staff issues/concerns brought to your attention.

This position is a live-in position. 

The Assistant Accommodation Manager will be required to permanently live on the property (The Accommodation Manager does stay on the property from time to time and you will be required to share the house). The Assistant Accommodation Manager will be required to be on standby to be available for guest emergencies, early check-outs, late check-ins, and other relevant duties. When on duty, be responsible for the cell phone and taking any after-hour calls, ensuring that you deal with it in the correct manner. Knowing how to deal with a certain emergency.

Essential qualifications, skills, and experience:

  • Minimum of 3-5 years' relevant working experience with hospitality systems and databases in the field of hospitality.
  • Outstanding typing and creative writing skills.
  • Excellent computer literacy (MS Office) and communication skills.
  • Attention to detail, team mentality, and positive attitude.
  • Driver’s License
  • Show flexibility to help with different areas of the marketing operation.
