To support the recent growth in sales and related activities at our wine tasting facility, and in anticipation of even stronger growth we are looking to appoint a person (reporting to the WTC Manager) with strong administrative capabilities to the above position. We believe that service excellence and a coordinated and well-structured approach to sales and service activities is essential in creating unforgettable customer experiences. In order to ensure this the front of house team must be able to rely on strong administrative support.

 Filling this position with a reliable and detail orientated person, able to work independently and accurately, will enable the WTC Manager to focus on the further marketing and increased sales of our business.

 The position will have the following specific responsibilities:

  • Management of reservations
    1. Telephonic, email, Dineplan
    2. Efficient and correct scheduling of reservations ensuring no clashes / overlaps
    3. Point of contact for all tour groups – reservations, enquiries, cancelations. Ensuring this is done professionally and in good order
    4. Invoicing and reconciliation of accounts and payments
    5. Timeously and professionally respond to all “info and admin” emails
  • Control of the WTC switchboard
    1. Timeous and professional answering of telephone calls
    2. Timeous follow-up on messages left
  • Daily cash-up documentation
    1. Complete daily cash declarations and sales report and submit to Admin department within prescribed timelines
    2. Ensure supporting documents are accurate and neat
    3. Investigate and resolve cash-up issues timeously
    4. Reporting over and under banking to the manager
  • Processing of stock and wine orders
    1. Capture usage and promotional stock on various systems
    2. Receiving goods and capturing on system
    3. Controlling and invoicing wine orders
    4. Ensuring payment is received before stock is shipped
  • General administrative duties
    1. Capturing of Wine Club data
    2. Coordinate all general and ad hoc administrative duties supporting the WTC
    3. Arrange delivery / freight of orders
    4. Maintain a structured and user-friendly filing system
    5. Ensure that sufficient and updated pricelists and menus are available
    6. Assist with stock takes

  • Have reliable transport to and from the workplace and be in possession of a valid driver’s licence.
  • Have previous experience in an administrative environment supporting sales and controlling stock
