Guest Relations Assistant - short term

Wines of South Africa is looking for a temporary worker to assist our Guest Relations Manager for an initial period of one month starting 1 February 2018. You will be based in our offices in Stellenbosch from 8:30 until 17:00 on week days. 

Duties include, but are not limited to the following:

Job Description: Guest Relations Assistant

Formulating Guest programmes

  • Assisting with preparing, formulating and finalising the programmes under very tight deadlines.
  • Assisting with liaising with travel and accommodation suppliers to finalise arrangements for guest speakers / journalists.
  • Telephonic coordination with the driver / journalist when required. 
  • Compiling the visitor feedback form.
  • Assist with making bookings and confirming these in writing with travel and accommodation suppliers and restaurants.
  • Assist with requesting visiting slots from producers.
  • Preparing the welcome letters and information packs for the visiting guests.
  • Compiling a spreadsheet to record and collate visitor statistics to the producers after each guest visit - keeping an accurate record of who visited, when and where.

Journalist Wine Tastings

  • Arranging a tasting venue.
  • Collecting wines, tasting notes and price points.
  • Drawing up the tasting comment sheet.
  • Compiling a file of relevant information for the journalist.
  • Setting up the wine tasting where required.

Customer Service

  • Delivering quality and effective service to guests, stakeholders and the public.
  • Interfacing, negotiating and communicating with other roles at WoSA to ensure excellent and effective service delivery across WoSA and to customers and the public.
  • Keeping an open channel of communication with suppliers, local and International WoSA staff and Wine Producers to ensure effective service.
  • Pre-empting producer needs and expectations so as to manage potential conflicts.
  • Informing and updating partners through regular communication.

Office and Financial Administration

  • Relieving at the switchboard according to a scheduled roster, when the receptionist is on lunch or tea break.

Wine Coordination

  • Receiving the wine at the office when delivered.
  • Checking the accuracy and detail of all the documents.
  • Ordering boxes if required.
  • Repacking and labelling the wine boxes if needed.
  • Packing promotional material.
