MAIN RESPONSIBILITIES:

Procurement:-

  • Maintains Supplier relationships in a professional manner, ensuring all costs agreed with suppliers, delivery dates, quantities and standards are adhered to and follow up calls are made to ensure correct supplies arrive on agreed delivery dates.
  • Determines and ensures inventory quantities are sufficient for production needs by ordering materials timeously when required.
  • Raises finished product, packaging material and consumable purchase orders accurately.
  • Creates purchase orders within 24 hours of scheduled productions, according to SAGE requirements and sends copies to suppliers, ensuring orders are updated with correct pricing.
  • Monitors Label and other quote sign offs, ensuring signed quotes are returned within 24 hours of receipt
  • Maintains delivery dates to ensure stock is receipted two (2) days before production
  • Checks missing confirmation dates daily and populates all confirmation date changes onto the system within 48 hours of sending through a request for written confirmation
  • Keeps accurate filing records of all raised purchase orders and approved label quotes
  • Updates and maintains price list database and filing regularly.

 

Analysis & Reporting:-

  • Responds to customer / supplier enquiries in regards to order status, changes, or cancellations
  • Prepares and distributes action log timeously
  • Provides production team with regular feedback of order status
  • Flags problems with timing of DG delivery dates within 2 weeks before production scheduling
  • Monitors stock holding of dry goods at suppliers and maintains stock reports
  • Investigates and monitors in-house inventory movements on system

 

Quality Management Systems:-

  • Adheres to QMS standards and procedures
  • Follows QMS protocol as described by QMS procedures
  • Adheres to the set GMP protocol and participates in various quality seminars

 

Health, Safety and Housekeeping:-

  • Assists in maintaining the Hygiene Management Procedures and ensures compliance to company and statutory safety policies and procedures including housekeeping standards

 

JOB REQUIREMENTS:

Must have Matric/ Grade 12 with a relevant Degree or Diploma aa minimum of five (5) years relevant experience in a similar environment

 

KNOWLEDGE & SKILLS:

  • Computer Proficiency (MS Office, Advanced Excel & SAGE)
  • Strong administration and good follow up skills
  • Strong analytical and problem solving skills
  • Fluent verbal and written English communication skills
  • Good understanding of Supply Chain processes
