Innovative manufacturing company based in the beautiful town of Stellenbosch is looking to employ a HR Assistant to support their HR Manager. Must be energetic, out of the box thinker, have strong multitasking, problem solving and time management skills.

 

KEY PERFORMANCE AREAS

PAYROLL FUNCTION    

  • Distribute and collate end of shift clocking report for signatures to supervisors (every 4-days).
  • Collate leave forms and medical certificates and update clocking and leave records daily.
  • Advise HRM of unauthorised absences for disciplinary action.
  • Capture leave forms and update leave balances.
  • Prepare Pastel Payroll for processing of hourly paid staff on a monthly basis.
  • Load new employees and maintain current system.
  • Assist with payroll queries.
  • Maintain Provident fund membership list – monthly.

 

EMPLOYEE RECORDS   

  • Maintain staff files according to company standards.
  • Ensure all HR filing is up to date
  • Perform file audits to ensure that all required employee documents are up to date.
  • Keep employee listings up to date on databases and spreadsheets.
  • Maintain databases with basic employee information.
  • Ensure scanned copies of personal details (ID, Contracts, Banking details and Biodata forms) are kept.
  • Issue new ID cards upon request.

 

RECRUITMENT 

  • Distribute job ads and collate job applications.
  • Assist HRM with screening and retaining CV’s
  • Schedule job interviews.
  • Assist with hosting interviews when required.
  • Distribute regret letters to unsuccessful candidates.

 

NEW ENTRANTS          

  • Prepare personal files for new starters.
  • Load fingerprints on system and issue ID card
  • Distribute and collate take on documents for new starters and hand to HRM to issue contracts.
  • Ensure new starters are aware of induction dates and attends the session.

 

TRAINING        

  • Capture all training requested, planned and completed on database as per SETA requirements
  • Collate information on a yearly basis from Management for budgeting purposes.
  • Setup induction schedule and keep record of all staff attend induction sessions.

 

 

ER + IR

  • Update disciplinary diary with warnings issued.
  • Assist supervisors with formulating charges and scheduling disciplinary hearings.
  • Advise employees on the grievance procedure and assist with resolving the matter.
  • Maintain Union member list for monthly payments

 

REQUIREMENTS

  • Grade 12 / Senior Certificate
  • Tertiary education in Human Resources / related field (advantageous)
  • Minimum 1 - 2 years experience working with time and attendance on Pastel Payroll
  • Excellent computer skills (MS Office)
  • Own transport and valid driver’s license

 

SALARY:

R10 000 - R12 000 CTC (provident fund contribution)
