Job Overview:
The Paltrack System Administrator is responsible for overseeing the effective operation, maintenance, and troubleshooting of the Paltrack system.
This includes ensuring accurate weight reconciliations, reconciliation of production runs, verifying incoming weights, and handling rebin weights.
The role requires strong technical proficiency, attention to detail, and the ability to work closely with production, logistics, and finance teams to ensure seamless data accuracy and system integrity.
Key Responsibilities:
- System Administration & Data Accuracy
Ensure the Paltrack system operates optimally and troubleshoot any system-related issues.
Maintain system integrity by ensuring accurate data entry, reconciliation, and validation.
Monitor system performance and implement updates or enhancements when necessary.
Provide user support and training for Paltrack system users.
- Weight Reconciliation & Verification
Conduct daily, weekly, and monthly weight reconciliations to ensure accuracy in stock movements.
Investigate and resolve any discrepancies between recorded and actual weights.
Ensure compliance with company standards for weight verification processes.
- Production Runs & Data Management
Manage and oversee production runs in the Paltrack system to ensure accurate batch tracking.
Validate production inputs and outputs to prevent losses or errors.
Liaise with production teams to ensure smooth data flow between departments.
- Incoming Weights & Class 3 Weights
Record and verify incoming product weights to ensure accurate inventory management.
Ensure class 3 weights (downgraded or off-spec product weights) are correctly classified and recorded.
Work closely with logistics and quality teams to maintain compliance with weight classifications.
- Reporting & Analysis
Generate daily, weekly, and monthly reports on weight reconciliation, production data, and system performance.
Identify trends or inconsistencies and propose corrective actions.
Provide data insights to management for decision-making purposes.
- Compliance & Process Optimization
Ensure all system processes align with company policies and regulatory requirements.
Continuously assess and improve system workflows to enhance efficiency.
Document system procedures and ensure team members are informed of best practices.
Key Performance Indicators (KPIs):
- System Uptime & Stability – Ensure 99%+ system uptime with minimal disruptions.
- Weight Reconciliation Accuracy – Maintain a reconciliation accuracy of at least 98%.
- Production Data Accuracy – Ensure 100% accuracy in recorded production runs.
- Incoming Weight Verification – Validate 100% of incoming weights against actual received stock.
- Class 3 Weight Classification Accuracy – Ensure proper classification of 100% of class 3 weights.
- Timeliness of Reports – Deliver all required reports within the agreed timeframes (daily, weekly, monthly).
- Issue Resolution Time – Resolve Paltrack-related system issues within [X] hours.
- User Support & Training – Conduct at least [X] training sessions per quarter and maintain high user satisfaction scores.
- Compliance with Internal Controls – Ensure zero compliance breaches related to system processes.
