We are seeking a proactive and organised Administrative Assistant to support our team and help streamline operations as we grow.


Role Overview:

We are looking for a part-time Administrative Assistant to support our National Trade Sales Manager, who has over 20 years sales experience in the wine industry. The ideal candidate is proactive, patient, skilled at building trust to encourage effective task delegation, and detail orientated. This role will start part-time (12 hours/week) with the potential to build to full-time as the business grows and the candidate proves their value.


Key Responsibilities:

  • Anticipate and address the National Trade Sales Manager’s needs by proactively managing schedules, emails, and tasks.

  • Organize and prioritize workflows, ensuring deadlines are met and processes run smoothly.

  • Assist in the planning, coordination, and execution of company events, including trade shows, tastings, and client engagements, ensuring seamless logistics, timely setup, and successful outcomes.

  • Maintain and update records, reports, and data using Excel and Google Sheets with a high level of proficiency.

  • Communicate clearly to clarify expectations, provide updates, and seek feedback to ensure alignment with the National Trade Sales Manager’s goals.

  • Handle sensitive information with discretion and confidentiality, such as client details and sales agreements.

  • Assist with ad-hoc administrative tasks, including document preparation, meeting coordination, and basic bookkeeping related to trade sales.

  • Gently support the National Trade Sales Manager in delegating tasks by demonstrating reliability and competence.


Requirements:

  • Proven experience as an administrative assistant or similar role.

  • Advanced proficiency in Microsoft Excel and Google Sheets (e.g., pivot tables, formulas, data organization).

  • Strong organizational skills with a keen eye for detail.

  • Proactive mindset with the ability to anticipate needs and take initiative.

  • Excellent communication skills, both written and verbal, to build trust and clarity.

  • Patience and adaptability to work with a team in a dynamic environment.

  • Confidence in handling tasks independently while maintaining a collaborative approach.

  • Discretion in handling confidential information.

  • Based in or able to commute to Woodstock, Cape Town.

  • Availability for 12 hours/week initially, with flexibility to transition to full-time.


Preferred Qualifications:

  • Experience in a small or growing business environment, ideally in the wine, hospitality, or trade sales industry.

  • Familiarity with tools like Google Workspace, or similar productivity platforms.

  • Knowledge of the South African wine trade is a plus.
