My client, a leading hospitality establishment in the picturesque Helderberg area, is seeking an experienced, charismatic, and skilled Conference and Banqueting Coordinator to support the planning and execution of events. The successful candidate will report to the Senior Conference & Banqueting Coordinator and play a key role in delivering exceptional guest experiences.
Purpose of the Role: Seeking a dedicated Conference & Banqueting Coordinator to support the Senior Banqueting Coordinator in orchestrating seamless events and unforgettable guest experiences. This pivotal role demands a professional with substantial hotel operations knowledge, particularly proficiency in Opera PMS.
Key Responsibilities:
- Manage client communications and conduct site inspections to ascertain event requirements
- Prepare detailed proposals, quotes, contracts, and event timelines
- Collaborate with chefs and service teams to finalize menus, décor, guest lists, and dietary needs
- Coordinate event logistics, floor plans, and schedules with clients and suppliers
- Oversee vendor engagements for catering, AV, décor, and outsourced services
- Ensure smooth on-site event execution in collaboration with the Banqueting Manager
- Address last-minute changes, client queries, and oversee post-event breakdowns
- Essential Criteria:
- Minimum 2 years' experience in a hotel environment (non-negotiable)
- Minimum 2 years' hands-on experience with Opera PMS (non-negotiable)
- Experience in hotel reservations or reception is highly advantageous
- In addition to the above, prior experience as a waiter in a restaurant, conference, or banqueting setting is beneficial
- Matric; a hospitality qualification is preferred
- Proficiency in MS Office and event management software
- Exceptional organizational, planning, and multitasking abilities
- Excellent communication skills with a strong command of English
- Willingness to work evenings, weekends, and holidays as required
- Sound knowledge of food and beverage operations and banquet procedures
- Professional, service-focused approach with proven team coordination abilities
