The coordinator acts as an assistant to the Meetings & Events manager. The coordinator will be responsible for coordinating the delivery of all food and beverages for functions held in the Hotel, as well as managing all details about these functions in all banquet and meeting rooms, in keeping with the standards prescribed by management.
The coordinator should always be an ambassador for the brand and a professional. Friendly and efficient over the phone or on a site visit, with a high level of energy to keep the client interested. Organised and excellent admin skills.
Work hours: 9 hours per day, five days per week (late shifts, weekends, public holidays, split shifts, overtime and last-minute changes)

Key Duties and Responsibilities:
- Marketing and selling meeting and events facilities
- Ensuring all enquiries are answered timeously and recorded daily
- Scheduling and conducting site inspections
- Creating bookings on Protel MICE & Protel Quick Groups (both events and accommodation)
- Communicating details and changes of your events using a function sheet
- Planning & coordination so that the event runs smoothly
- Ensuring deposits, final pre-payments and balances due are paid on time.
- Assisting the meetings & events manager with on-site events where required
- Maintain and improve the high quality of service to ensure guests receive 5-star experiences.
- Develop innovative ideas in conjunction with managers to ensure the continuation of outlets.
- Handle routine accounting for daily sales. Ensure all is correct and complete at the end of the business day.
- To learn and uphold the principles and goals of Lanzerac
- Ability to work most weekends and holidays
- To comply with all statutory and company regulations relating to Health & Safety and hygiene
- To ensure that the client's queries and complaints are dealt with promptly and personally, and severe situations are reported to the Meetings & Events Manager/ Duty Manager.
- To attend weekly Operations and F&B meetings, communicating all information to team members.
- Any other duties assigned
Knowledge and Abilities:
- Minimum of 1 year's experience in a similar position
- Excellent communication, organisational and administrative skills - verbal and in writing
- Good knowledge of hotel management systems, Excel, Word, Outlook, etc.
- Excellent organisational and administrative skills
- Ability to react quickly and creatively, whilst maintaining a good energy level and staying focused on projects
- A can-do attitude, because you may need to hire audio visual, lighting, a DJ, a band, stages, and marquees
- Own transport
- Well groomed
