We are looking for a Logistics and Exports Coordinator to manage all of our outbound and international shipments in a smooth, efficient and timeous manner. The Logistics Coordinator will act as the first point of contact for all shipments, orders and enquiries, ensuring that every customer interaction is handled proactively and professionally.

DUTIES & RESPONSIBILITIES

Product Delivery: Coordinate the transportation and delivery of products to customers, ensuring timely and accurate delivery while maintaining quality standards.

Invoicing to Customers: Ensure that invoices are generated timeously and distributed via the necessary channels to ensure on-time delivery, locally and internationally.

Vendor Loading: Completion of vendor forms for new clients.

Export Orders and Customs Clearance: Manage all export invoicing and order preparation. Coordinate with freight companies and clients to handle customs clearance and ensure compliance with regulations for exported goods.

Export Quotas: Annual export quotas application and monitoring.

Client Management: Reconcile deliveries with invoices and liaise with clients regarding queries.

Inventory Management: Monitor the Ezy stock system and physical stock to manage inventory levels to meet customer demands while minimising excess stock.

Production: Coordinate with the production team and sales team regarding allocation of stock, run rates, re-order levels, etc.

Physical Stock Counts: Perform cyclical counts to ensure that the physical stock and the Ezy system stock correspond. Oversee stock takes and report on stock levels at all warehouses. Investigate and explain variances.

Documentation: Maintain accurate records of distribution, customs clearance, logistics operations, etc.

Operational Efficiency: Develop and implement strategies to optimise supply chain operations and reduce costs.

Communication: Strong written and verbal communication with both internal and external contacts.

Team Management: Manage the team in the warehouse and on the road, consisting of a warehouse manager and controller, and the drivers and driver’s assistants. Coordinate drivers’ routes, ensure constant communication with the team out on deliveries, and ensure the warehouse has sufficient information to prepare invoices accurately and timeously.

Supplier Relationships: Build and sustain strong relationships with suppliers to ensure reliable procurement and delivery channels.

Problem Resolution: Address and resolve logistical and supply chain issues promptly and effectively.

Audit Input: Provide documentation as required for annual audit and excise audits.

Administration: Ad hoc administrative duties concerning stock, customers, and exports.

SKILLS AND QUALIFICATIONS

A degree or diploma in Logistics, Supply Chain Management, Business Management or a related field.

Strong knowledge of customs regulations, clearance processes and international trade standards (experience with exporting wine is preferable).

3+ years of experience in logistics coordination, preferably within the wine or FMCG industry.

Proficiency with MS Excel.

Ability to manage multiple shipments and priorities in a fast-paced, deadline-driven environment.

Experience with EZY Wine accounting system is preferable.
