The Reservations & Events Assistant plays a key role in delivering exceptional experiences at Jordan Wine Estate. As part of the Reservations team, you will assist with handling telephone and email enquiries with efficiency and professionalism, while overseeing bookings through Dineplan, including processing confirmations, managing deposits, and updating reservations as needed.

You will also assist the Reservations Manager with the preparation of quotes and coordinating a diverse range of events including proposals, weddings, conferences, private celebrations, tastings, wine dinners, and corporate functions.

Working closely with customers and internal departments, the coordinator ensures every event reflects the highest standards of service, hospitality, and operational excellence.

We’re looking for a hands-on professional with outstanding organisational skills, meticulous attention to detail, and a strong understanding of premium guest experiences within a hospitality environment.

Key Responsibilities

Reservations Support

  • Respond to telephone and email reservation enquiries promptly and professionally.
  • Manage bookings on Dineplan, including confirmations, deposits, and updates.
  • Keep the Cellar Door and Reservations team informed of booking movements.
  • Assist with Jordan Luxury Suites reservations.
  • Corresponding with guests, booking platforms, and agents.
  • Managing deposits, payments, and billing.
  • Upselling estate offerings and experiences.
  • Recommending dining, wine tasting, and local experiences in Stellenbosch.
  • Recording CRM notes and applying them for returning guests.
  • Provide excellent guest service and assist with other administrative tasks as required.

Event Planning & Coordination

  • Assist with all in-venue events from enquiry and quoting through to post-event feedback.
  • Prepare detailed event schedules and function sheets.
  • Liaise with internal teams and external suppliers to ensure seamless delivery.
  • Hosting site visits.

On-the-Day Event Execution

  • Oversee on-site event operations and timelines.
  • Act as the primary point of contact for clients and suppliers during events.
  • Supervise event setup and breakdown.
  • Anticipate and resolve operational issues quickly and discreetly.
  • Ensure all events meet the highest hospitality standards.

Requirements

  • Reliable personal transport.
  • Availability to work weekends and functions.
  • Previous experience in events, reservations, or hospitality.
  • Strong ability to work collaboratively within a team.
  • Exceptional attention to detail.
  • Excellent communication skills, both written and verbal.
  • Knowledge of booking systems; Dineplan experience is an advantage.
  • Friendly, professional, and guest-focused attitude.
