We are seeking a highly organised, proactive, and service-driven Marketing Coordinator to support our Wine Marketing and International teams. This is a dynamic role requiring exceptional project coordination, event management, administration, stakeholder engagement, and office management capabilities.

The successful candidate will play a pivotal role in coordinating customer visits, international trade shows, wine events, conferences, travel logistics, office operations, and marketing administration, while ensuring a world-class experience for customers, guests, and internal stakeholders.

Location: Stellenbosch, Western Cape
Reporting to: Wine Marketing Director & International Director

Key Responsibilities

Marketing & Events Coordination

  • Plan and coordinate wine tastings, trade shows, customer activations, conferences, and marketing events.
  • Manage logistics and administration for local and international exhibitions, including ProWein, Vinexpo, Winex, and other industry events.
  • Coordinate branded exhibition stands, suppliers, travel arrangements, shipping, accommodation, and event budgets.
  • Support the execution of marketing campaigns and customer engagement initiatives.
  • Manage competition entries, marketing collateral, and promotional materials.

Guest & Hospitality Management

  • Coordinate customer visits, wine tours, tastings, and VIP hospitality experiences across DGB venues.
  • Manage guest itineraries, travel, accommodation, entertainment, and transport arrangements.
  • Oversee hospitality venues, guest accommodation facilities, and event bookings.
  • Ensure exceptional guest experiences and seamless visit coordination.

International Division Support

  • Provide administrative support to the International Director and Wine Marketing Director.
  • Coordinate international travel, visa applications, accommodation, and logistics.
  • Process purchase orders, supplier payments, and procurement requirements.
  • Manage trade show participation, customer visits, and international marketing administration.
  • Maintain online industry platform listings and coordinate competition entries.

Administration & Reporting

  • Coordinate travel calendars for marketing, international, and winemaking teams.
  • Compile quarterly management, board, and executive reports.
  • Schedule meetings, manage calendars, and support conference planning and administration.
  • Maintain accurate records, budgets, purchase orders, and financial documentation.

Conference & Event Management

  • Coordinate annual company conferences, internal events, and corporate functions from concept to completion.
  • Manage venues, suppliers, budgets, delegate communication, registrations, travel, and accommodation.
  • Oversee on-site event execution and ensure successful delivery of all event objectives.

Office Management

  • Manage day-to-day office operations, facilities, maintenance, and supplier relationships.
  • Coordinate meeting rooms, visitor management, office supplies, and equipment procurement.
  • Support employee onboarding, office administration, health and safety requirements, and workplace services.
  • Act as the primary contact for office-related matters and service providers.

Team Leadership

  • Provide guidance, support, and direction to administrative team members.
  • Coordinate workloads, set priorities, and ensure deadlines are achieved.
  • Drive continuous improvement, collaboration, and service excellence within the department.

Minimum Requirements

  • Relevant tertiary qualification in Marketing, or a related field.
  • 5+ years' experience in a marketing coordination, events management, office management, or executive administration role.
  • Experience coordinating conferences, trade shows, brand activations, and corporate events.
  • Strong project management and organisational skills with the ability to manage multiple priorities simultaneously.
  • Experience working with budgets, purchase orders, supplier management, and procurement processes.
  • Proficiency in SAP and Microsoft Office (Excel, PowerPoint, Word, Outlook, and Teams).
  • Valid driver's licence and willingness to travel when required.
