The Logistics Co-ordinator’s primary function is to facilitate the planning, implementation, and to oversee the effective storage of goods and their transportation from the point of origin to the final destination. The incumbent facilitates the communication between all internal departments and distribution centres (depots, packhouses and freight forwarders) to ensure that our product is moved from the grower to the client according to our standard procedures and protocols.

Key performance areas:

Logistics, operations and functional supervision

• Investigate the current state-of-play with regards to operations and provide daily insights to internal departments and other stakeholders to ensure logistical responsibilities are met.

• Plan, manage and evaluate logistical operations liaising with internal stakeholders, suppliers, logistics providers, transportation companies, growers, and customers.

• Assist Supply Chain Manager to negotiate rates and contracts with transporters and logistics providers.

• Illustrate and maintain a good understanding of all value chain cost elements and grower returns, and at the same time deliver value to customers, employees, growers and stakeholders, to drive efficiencies across the business.

• Review and recommend optimal transport modes and routes based on operational needs and changes.

• Ensure carrier compliance with company policies or procedures for product transit or delivery.

• Resolve problems concerning transportation, logistics systems, imports or exports, or customer queries.

• Manage stock movements with the help of the Capacity and Procurement Teams.

• Manage and resolve all operational issues that may arise during loading of sea or air freight in conjunction with the Operations Team.

• Liaise with receiving customers and freight forwarders and follow up on destination deliveries and proof of deliveries.

• Follow up to ensure invoices are paid to release sea waybills with shipping lines.

• Compile sea freight schedules with vessel options, book containers and forward details for shipping instruction (SI) submission to Freight Forwarder.

• Book airfreight space with Freight Forwarders and arrange trucking with transport companies.

• Pre-empt risks and communicate to the team to take pre-emptive action to mitigate losses.

• Maintain an up-to-date understanding of bonded shipments and operations for non-RSA goods.

• Working knowledge and understanding of international logistics and Incoterms to arrange DAP and DDP shipments to customers

External facing responsibilities

• Establish and maintain relationships with transportation vendors (airlines, shipping lines, transporters and freight forwarders) and ensure service-level accountability.

• Identify and implement strategies to increase effective and efficient communication to improve inter-departmental collaboration.

• Develop and maintain strong relationships with all stakeholders involved in the logistical process.

• Follow up on and ensure that all completed consignments are dispatched on time, with all required documentation, to ensure all information regarding the order is communicated timeously.

• Ensure that the products are shipped appropriately, according to product and shipping specifications, to ensure they maintain fruit quality by optimizing the cold chain during transportation.

• Ensure compliance with import/export regulations, customs regulations, legal and health and safety requirements.

• Ensure effective communication with destination agents and customers.

Administration, systems, and reporting

• Communicate and collaborate with all stakeholders (both internal and external) to ensure all the necessary procedural requirements are met; including procurement, distribution, packaging, allocations, transport, and delivery of fruit.

• Manage and co-ordinate freight claims as they arise.

• Remain up to date with the changing parameters within the South African Fresh Produce Export industry.

• Maintain and update internal exporting system (BEX) with relevant fruit data.

• Collaborate with the Supply Chain Manager to ensure that pre-season planning is in place and aligned with the Sales, Pre-Harvest, Post-Harvest and Supply Chain Departmental strategies and plans.

• Conduct post-season reconciliations and reports and resolve post-season queries.

• Prepare and present Post-Season Grower reviews.

• Review and update protocols on a continuous basis.

• Forward loading notifications to freight forwarders.

• Ensure the timeous distribution of original export documentation to customers and relevant stakeholders.

• Complete an accurate forecast of weekly freight bookings.

• Communicate FOB costs and transport rates to the rest of the team.

• Monitor vessel ETD, ATD, ETA and ATAs and follow-up on previous week’s shipments ATD and ATA.

• Assist costing accountant with sign-off of creditors invoices after checking against quotes/agreements.

• Continuous comparison of rates of service providers to remain competitive.

• Build interpersonal relationships with stakeholders i.e., growers, pack houses, service providers, etc (by arranging visits).

• Ad-hoc assistance with other logistics tasks and functions as required.

• Optimize internal and external ways of working.

Process improvement

• Track, analyse and document performance improvement metrics within supply chain with the intention to implement strategies and identify opportunities to improve overall efficiency and performance.

• Identify and implement solutions to logistical problems while maintaining high levels of quality and service.

• Contribute to the creation, streamlining and implementation of best-practice logistical vision, strategy, policies, processes, and procedures to aid and improve operational performance.

• Review impact of logistical changes, such as routing, shipping modes, product volumes or carriers and report results to internal departments and other stakeholders providing insight to potential improvements.

• Provide meaningful logistical data to all relevant stakeholders to aid customer service and cost improvements.

• Drive efficiencies throughout the supply chain process to reduce overall time-in-chain. Candidate requirements:

1. Formal qualification:

Degree in supply chain management or logistics (Essential)

Driver’s licence and own transport (Essential)

2. Job-related experience:

Commercial experience (3-5 years) (Essential)

Exports of perishable cargo experience (3-5 years) (Essential)

3. Job-related knowledge:
