Our client in Steenberg, Tokai is looking for a Reservation Manager



Grade 12

Diploma in Hotel Management

Computer Literate

At least 5 years’ experience in a Senior role

Fluent in English and Afrikaans

Driver licence and own Transport

Handles Hotel bookings and reservations for guests.

Decides and manages the overriding of rates and upgrades

Ensures guests arrangements such as transfers, restaurant bookings, golf and tours and bookings at other venues are attended to.

Ensures that profiles and remarks of arriving guests are updated on system.

Ensures that the Reservations Operational manual is always up to date.

Ensures that all Opera system and configuration including problems are attended to immediately.

Updates users, salutations and rates (special agreements and packages) on Opera system relating to guests and Operators.

Liaises with HOD’s regarding staff educational bookings (staff stay overs).

Deals with agent or guest complaints relating to bookings and informs the Hotel Manager promptly.

Ensures that adequate staffing levels are maintained to achieve highest levels of productivity.

Provides input into the budget.

Draws up and distributes prize letters.

Assists Sales and Marketing by attending trade shows, sales calls to operators and site inspections etc.

Effective management of all GDS for Steenberg in terms of loading of rates, closing out, seamless functionality [via –Service Providers

Data base has to correspond to profiles

Liaise with IT company on any issues around PMS (property management system and as Opera), Website loading engine and GDS.

Ensure that loading engine is fully exposed and maximize bookings via this channel.

Assist Hotel Manager with making decisions for all agreements and contracts as allocations, barters, participations etc



Ensures that confirmations of bookings are completed and sent out within 24 hours

Website – ensure that it is up-to-date

Responds to initial enquiries and requests within an 8 hour working day.

Liaises with departments and provides and update on arrivals, groups, special requests at the Hotel.

Ensures that all rates and package information is up-to-date on the websites (bookings websites).

Completes Health and Safety questionnaires, hotel information forms from Operators.

Attends daily meetings if required.

Attends HOD and Operational meetings.

Draws up and sends out rates and packages to all agents and operators on the database when required.

Maintains good communication channels with other 5 star hotels in the area.

Supports and assists the Forum, Health and Safety and Employment Equity Process.



Ensures pro-forma invoices are sent out in time to guests / clients.

Follows up with guests on payment of invoices.

Responsible for city ledgers (bill backs) timeously to ensure that statements are sent out by accounts department for payment.

Maintains full control of payment and commission procedures for all reservations.

Records all commissions generated through transfers, tours etc.

Monitors occupancies and forecasts in line with set budget.

Manages waiting lists and turn-a-ways and provisional reservations in order to optimize occupancy and revenue by applying yield management.

Use of GDS and all bookings engine to its full potential and maximize revenues via these channels
