Reservations Coordinator ( Events) Internationally owned wine estate - Stellenbosch

Internationally owned wine estate is looking for a Reservations Coordinator (Events) who will be responsible for handling reservations, inquiries and cancellations in an attentive, courteous and efficient manner for the restaurants & the wine tasting facility on the estate.


  • Grade 12
  • A relevant tertiary qualification (Diploma or Degree) will be advantageous
  • Min 1-3 years’ Events/Reservations experience in either Relais & Chateaux or 5-star establishments
  • Experience working with Dineplan (or similar system)
  • Excellent computer (MS Office packages) and administrative skills
  • Excellent ability to pay attention to detail
  • Stress tolerance & able to work under pressure
  • Excellent interpersonal and communication skills in English
  • Strong customer service orientation with excellent people skills
  • Excellent telephone etiquette
  • Planning & Organizing skills
  • Able to work weekends and public holidays
  • Able to take responsibility and work independently
  • Honest, Reliable and Adaptable
  • Own reliable transport
  • Comfortable in dealing with very distinguished clientele.


  • Handle all reservations & events enquiries (email/telephone/guests/site inspections)
  • Manage quotes, invoices and payments for special holidays like Christmas, Mother’s Day and Valentine’s Day and ensure pre-payments have been received
  • Coordinate helicopter landings with helicopter companies and the security team
  • Responsible for all pre-reservation/event correspondence
  • Conduct site inspections with potential clients
  • Coordinate and communicate with all suppliers for events
  • Finalize menus for functions with guests and the Head Chef
  • Discuss any special requests for events with the Hospitality- and Restaurant Managers
  • Organize & manage in-house events and functions with the Marketing Team
  • Distributing function sheets to all departments
  • Provide Switchboard Operators with upcoming event details to update the Daily Function Forecast
  • Continually following up with reservation and event enquiries and ensure Dineplan is up to date with all reservations
  • Confirm all lunch and dinner reservations via telephone and email
  • Assist as needed, & when short staffed as Switchboard Operator or Hostess.
