Receive and review all invoices

This involves confirming correctness of invoices as well as supporting documentation,

Connect with internal role players to confirm invoices,

Applying correct Pastel codes for later processing,

Contact Financial Department  regarding any queries and issues

Follow up with suppliers to sort out issues with invoices, credit notes, etc.

Assist tasting room with queries or issues with POS and payments

Assist tasting room with any stock related issues and  inventory control

Maintaining and managing budgets for various aspects of estate, whether tasting room or farming,

Reconciliations as requested from fin department


Wine Cellar Admin

General management all wine related paperwork, specifically SAWIS paperwork (Green Cards & Pink Cards)

Liaison with the winemaking team

Excise related documentation and paperwork

Reconciliations related to the SAWIS or Excise duties

Liaison with winemakers to verify stock levels and figures


Vineyard related Admin

Liaison with farm manager  regarding any vineyard related expenses

Maintaining planting budget,

Maintaining vineyard establishment costs as well as ongoing vineyard expenses

The above will be in conjunction with the Fin. Department as well as farm manager

General  assistance with  certification processes such as IPW and WIETA


Administrative (General)

Any administrative functions related to the estate. This can range from ordinary office administration to the tasting room, vineyard and cellar.

Link the wine estate and financial division at bottling plant regarding any queries

Following up on orders and deliveries

Checking of delivery notes and related documentation

Assistance with staff matters and the clock system in order to handle queries regarding  overtime and

Handling of stationery and other necessities for office as well as possible IT assistance

Assistance to marketing team with any admin related issues.

General recordkeeping and filing


Estate related Admin

Administrative liaison with tenants of cottages,

Following up on rental payments,

Sending out statements



Relevant tertiary qualification in finance and matric

3 - 4 years’ experience in a similar position in the wine industry

Previous Wine Estate experience essential


Computer literate: Pastel and Excel; Wine MS advantageous.
